Pandemic Planning Communications to Commercial Tenants

As part of its ongoing participation in the National Industry Pandemic Planning Task Force, BOMA Canada has made a commitment to working with association members and industry counterparts in a national communications role. The Task Force objective is to develop a common and consistent approach across the commercial real estate industry, to mitigate the impact of a pandemic on Canada’s workers.  There is increasing concern over the likelihood of an influenza pandemic occurring in Canada.   In such an event, the medical community projects that as much as 40% of the workforce will be unavailable for periods of up to 8 weeks.

Clear, effective communication is a cornerstone of the pandemic planning strategy being developed, in cooperation with local and emergency authorities.  As a national association, BOMA Canada, in collaboration with the regional BOMA associations across the country, has taken on the role of helping to communicate to the industry all issues and activities related to pandemic planning. This includes the distribution within the next two months of a comprehensive Report geared towards the specific issues of particular concern to building owners and managers. The Report, being developed by the National Industry Pandemic Planning Task Force, in tandem with critical service providers across the country, will include recommended procedures, public responses and standard communication.

Attached is a letter, designed to advise commercial tenants of what to expect should a pandemic arise, which is being distributed by national real estate firms to their respective tenants.  This template, along with other future correspondence, is intended to further communicate the preparations being made across the country should a pandemic occur.  BOMA Canada believes this letter will also serve to set an appropriate level of expectation that Canadian workers should have, in the event of a pandemic.  As part of BOMA’s role to circulate information as widely as possible, this tenant letter template is being distributed to assist in conveying a standardized and consistent message throughout the industry.

BOMA Canada is encouraging all in the commercial real estate industry to actively share information, including the attached letter, about the preparations being made in the event of a pandemic or similar critical event.  As active participants in the National Industry Pandemic Planning Task Force, BOMA Canada’s objective is to ensure that members and the industry have the tools they need, and that BOMA is a central source of timely, accurate and consistent information. The organization’s website, now has a dedicated Pandemic News section, http://www.bomacanada-pandemic.ca, where valuable new resources, extensive information links and additional templates, are being posted. As the Task Force continues its work, BOMA Canada will provide additional details regarding pandemic planning, including the comprehensive Report. Information on the BOMA Canada website will be updated on a regular basis, including updates developed by the Task Force, regional association information, and other valuable tools submitted by the association and its members.
